Role Summary:

Do you thrive managing multiple things at once, and a passion for digital marketing production?  This role is a key cog to our marketing engine, acting as the liaison between our client services team and our production team.

 

This role owns the management of marketing production and the structure of our agency. The primary, day-to-day responsibility is to project manage all of our production. The flow of our marketing operates through you, ensuring we are setting our production team up for success.

The secondary role is to ensure our agency is structured, and all processes are defined and followed through. Finally, an occasional role is to be the Account Manager for creative projects and non-tier clients.

Our agency has the tools in place for you to succeed – with you leading the two key ones in our project management tool and Microsoft SharePoint/Teams.

Responsibilities:

Marketing Production Manager

  • Air-traffic controller of all production tasks and projects
  • Liaison between Client Service team and Production team
  • Ensure all tasks and projects are accurately scheduled into project management tool
  • Manage and monitor all production tasks in Project Management tool
  • Ensure projects/tasks are completed within allotted time and by deadlines
  • Provide clear, proactive, and attentive communication to production team members
  • Lead a production culture of efficiency and timeliness
  • Ensure high efficiency and utilization rates for production team members
  • Ensure projects and campaigns are built and executed within the scope/plan
  • Provide estimated times for specific tasks and projects

Production Processes

  • Improve and streamline all current production processes
  • Create and manage documentation for production processes, project requirements, and project scope
  • Develop and maintain project and task schedules through project management tool
  • Track and monitor client utilization hours and provide quarterly utilization reports
  • Review and analyze team time entries against benchmarks

Internal Agency Structure

  • Own the structure of the agency when it comes to internal operations
  • Ensure company-shared tools are effectively utilized, managed, and operating
  • Become point person for Microsoft Office 365 tools the team is using
    • This is not an IT Admin responsibility, rather a structure/process related piece
  • Develop and/or manage all internal processes to ensure agency structure
  • Templates for marketing campaigns are seamless to create per client
  • All projects to have detailed processes to create efficiencies and smooth operations between Account Management, Clients, and Creative

Client Coordination

  • Join bi-weekly client check-in calls with client & AM, whom would be the lead
  • Identify and document project requirements in order to define the project scope
  • Provide a status update or estimated completion of any project/task to clients
  • Fully understand Trailblaze clients’ business, and how we can succeed as partners
  • Coordinate with Account Manager to support reporting efforts 
  • Become the point person for projects such as website and branding projects
  • Become the point person for non-tier clients

Qualifications:

  • Passionate about what you do, so be sure this role is something you’d enjoy! No one likes a grump.

  • This isn’t an entry level job; 3-5+ years of digital marketing experience, preferably as a project manager or account manager, is required
  • There is always a lot to juggle as a Project Manager, so a very high level of organizational skills will be needed in order to succeed at this role
  • Must have a GET IT DONE (and positive) attitude with proven ability to manage people and projects
  • A firm understanding of project time utilization, project planning and forecasting – numbers matter
  • Proven ability to hit deadlines and meet or exceed expectations – deadlines are not suggestions
  • Exceptional communication skills, both written and verbal – communication is key
  • Great customer service providing an exceptional experience – we take a human approach in all we do
  • Ability to think both creatively and analytically – our marketing model combines the two
  • Ability to be teachable and flexible – we are a very adaptable marketing agency
  • Full understanding of digital production processes and technical requirements is a plus
  • Experience with Microsoft Office 365, such as SharePoint & Teams, is a plus
  • Experience with Project Management Tools is preferred
